Commercial washroom checklist

A useful washroom cleaning checklist explains what your team needs to do during a cleaning visit. It should be specific enough to guide the work and simple enough to use during a busy shift.
The checklist below is a starting point for general commercial washrooms in offices, restaurants, retail locations, and shared buildings. Adapt it to your facility, approved products, staff training, and cleaning procedures.
Specialist environments, including healthcare settings, need their own applicable protocols.
Before cleaning begins
Confirm that the cleaner has the appropriate training, equipment, and protective equipment for the work.
Review product labels and relevant safety data sheets. Follow the instructions for preparation, application, ventilation, and safe handling. CCOHS provides workplace guidance on sanitation and infection control for cleaning staff.
Do not mix cleaning chemicals or use products together unless they are specifically labelled for that use. Health Canada’s safe-use guidance.
A practical commercial washroom cleaning checklist

Add site-specific tasks rather than assuming every washroom has the same equipment.
For example, a space may include changing facilities, showers, or additional fixtures that require their own procedures.
Make cleaning and disinfection instructions specific
Avoid a checklist instruction that simply says “disinfect everything.”
Identify the surfaces covered by your procedure and choose products appropriate for those surfaces and uses. Follow label directions, including any required pre-cleaning and contact time.
CCOHS advises cleaning surfaces before disinfecting and following the product’s required dwell time. CCOHS cleaning staff guidance.
Give your team enough time to complete those steps properly. A tick beside a task should represent completed work, including the required product application process.
Set a cleaning frequency that fits the location
A checklist explains the tasks; a schedule determines when they happen.
Build the schedule around:
- Opening hours and shift patterns.
- Typical and peak washroom use.
- The number and type of fixtures.
- Recurring supply shortages or complaints.
- Observations from previous inspections.
A quiet office and a busy restaurant may need different routines. Include a process for responding between planned cleaning visits when conditions change.
In Ontario, ministry inspectors may consider both the washroom’s actual condition and cleaning frequency relative to its use. Ontario’s washroom facilities guidance.
Distinguish inspections from cleaning visits
An inspection might find that the washroom is in good condition and supplies are stocked. A cleaning visit involves performing the assigned cleaning work.
Use clear labels so your records distinguish these activities. Otherwise, a manager may mistake several inspection rounds for several completed cleans.
Connect the checklist to a completion record
At the end of the visit, record the cleaning date, time, and relevant details. Keep the checklist and log associated with the same identifiable space.
Use our Washroom Cleaning Log Template if you need a simple starting record.
For Ontario employers, our Ontario Washroom Cleaning Record Requirements guide explains the separate question of making records available to workers.
Review the routine, not just the ticks
A completed checklist is useful evidence of a process being followed, but supervisors should also check the actual space.
Look for recurring problems. If supplies run out before every scheduled visit, adjust replenishment. If the same fixture repeatedly needs attention, raise a maintenance issue rather than repeatedly recording it as a cleaning problem.
How LaviScanIQ fits into the routine
Your cleaning procedure defines the work. LaviScanIQ helps your team record cleaning activity after that work is completed.
Each space has its own QR code and cleaning history. Cleaners submit entries with a GPS location check, while managers review recorded activity across buildings.
