Free Washroom Cleaning Log Template: A Practical Workplace Record

A washroom cleaning log should make one question easy to answer: When was this space last cleaned?
Whether your team calls it a bathroom cleaning log, restroom cleaning sheet, or washroom record, the purpose is the same: keep a clear record of completed cleaning activity.
Below is a free template you can copy into a document or spreadsheet and print. It works as a starting point for offices, restaurants, retail locations, and other commercial facilities.
Copy this washroom cleaning log template
Use a separate sheet for each washroom or clearly identified space.
Building or site: ______________________________
Washroom or space: ____________________________
Floor or location: _____________________________
Reporting period: _____________________________
Supervisor or contact: _________________________

Instructions: Complete an entry after cleaning. Use a consistent time format and record unresolved issues through your workplace’s reporting process.
This is an operational template. Adapt it to your workplace and any applicable requirements.
What belongs in a useful cleaning log?
A clear space identifier
The record should identify the washroom it belongs to. A building with several floors may have multiple spaces with similar names, so include enough detail to distinguish them.
The cleaning date and time
Record when the cleaning was completed. A date without a time makes it difficult to distinguish several visits on the same day.
Use a consistent format, such as “27 October 2026, 14:30.”
The person recording the clean
A name or identifiable set of initials helps a supervisor follow up when needed. Make sure initials are meaningful to the people managing the record.
The scope of the visit
“Cleaning completed” and “supplies checked” describe different activities.
If your team conducts both cleaning visits and inspection rounds, distinguish them clearly. A quick supply check should not be recorded as a full clean.
Outstanding issues
Include a short note when something needs attention, such as a leaking tap, damaged dispenser, or missing supplies.
Recording an issue is only the first step. Your team also needs to know who receives the report and arranges follow-up.
How to use the template
- Name the space. Match the label to the location your team recognises.
- Explain the fields. Show cleaners what a complete entry looks like.
- Record after cleaning. Avoid advance sign-offs.
- Review entries. Check that records are legible and current.
- Follow up on issues. Transfer unresolved problems into your maintenance or reporting process.
For an Ontario workplace, also check how workers will access the required records. The province permits conspicuous physical posting or accessible electronic records with directions for workers. Ontario Regulation 480/24.
Cleaning log, checklist, or schedule: what is the difference?

These documents support each other. A detailed checklist cannot replace a missing completion record, and a signed log does not explain your cleaning procedure.
When does a digital cleaning log make sense?
Paper can be practical for a small operation with a reliable review process. Digital records become worth considering when managers need to review several spaces or buildings without collecting individual sheets.
Consider your current routine:
- Do supervisors regularly travel just to check records?
- Are sheets frequently missing or difficult to read?
- Do several cleaners work at the same location?
- Is it difficult to find the latest entry for a particular washroom?
These questions help identify where a digital process could improve visibility.
Move from a paper sheet to a space-specific QR code
With LaviScanIQ, each space receives a unique QR code. Cleaners scan and submit entries, GPS checks their proximity at submission, and managers review cleaning history from a dashboard.
The underlying discipline stays the same: record completed activity accurately and review it consistently.
Read our Ontario Washroom Cleaning Record Requirements guide for the regulatory context, and use our Commercial Washroom Cleaning Checklist to plan the tasks behind each entry.
